A Plan For Creating a Coin Show Fundraising Event

Creating a coin show fundraising event requires a blend of logistical precision for the bourse floor and strategic planning to maximize donations. A well-organized, secure event will attract both seasoned collectors and the general public, generating revenue through dealer table fees, entry fees, and special activities. 

Phase 1: Planning & Definition (4–6 Months Prior)

  • Define Goals: Set clear, measurable goals for funds raised, attendee      numbers, and dealer participation.
  • Establish a Committee: Appoint a project lead, a dealer liaison (bourse      chair), a marketing lead, and a volunteer coordinator.
  • Develop a Budget: Account for venue rental, insurance, security, advertising, table rentals, and food/beverage.
  • Secure Venue & Date: Select a location (e.g., community center, hotel ballroom) that is accessible, has sufficient parking, and offers security.
  • Identify Revenue Streams:
    • Dealer Table Fees: Charge for dealer tables (e.g., $50–$100 per table).
    • Entry Fee: $3–$5 for adults; free for children to encourage families.
    • Silent Auction: Ask dealers to donate items for a charity auction.
    • Raffle: Raffle off a graded coin or proof set.
    • Food/Concessions: Sell food on-site or partner with a food truck.
  • Secure Insurance: Ensure proper liability and security for high-value items. 

Phase 2: Logistics & Vendor Recruitment (3–4 Months Prior)

  • Recruit Dealers (Bourse): Reach out to local coin clubs and dealers. Provide a floor plan and registration form.
  • Set Security Protocols:
    • Appoint security staff for the entrance.
    • Implement strict loading/unloading rules.
    • Encourage dealers to use locking cases and "body bags" (zip-up table covers).
    • Establish a designated, guarded area for dealer inventory overnight if it is a multi-day show.
  • Arrange Equipment: Rent tables, chairs, display cases, and lighting if the venue doesn't provide them. 

Phase 3: Marketing & Promotion (6–8 Weeks Prior)

  • Advertise to Collectors: Promote in Coin World, local coin club newsletters, and numismatic forums.
  • Community Promotion: Use local newspapers, community event boards, and      social media (Facebook Groups).
  • Highlight Family Fun: Promote free coin appraisals for the public and free      "starter packs" for kids to increase attendance.
  • Launch Ticket Sales: Create a digital landing page or sell tickets at local coin shops. 

Phase 4: Execution & Show Day (Day of Event)

  • Setup: Ensure volunteers are available for setup. Mark table spaces clearly.
  • Registration: Set up a, professional check-in desk to collect entry fees and distribute dealer badges.
  • Security Check: Check credentials at the entrance. Ensure dealers are set up safely before allowing early bird entries.
  • Live Action: Manage the silent auction and raffle drawing.
  • Volunteer Roles:
    • Security: Roaming security or monitoring entrances.
    • Appraisal Assistance: Helping with crowd control at the free appraisal table.
    • Raffle/Auction Desk: Managing sales. 

Phase 5: Post-Event Follow-Up (1–3 Days After)

  • Thank Participants: Send thank-you notes to dealers, sponsors, and volunteers.
  • Reconcile Finances: Finalize revenue from table fees, tickets, and donations.
  • Survey: Send a feedback survey to dealers to improve next year’s event.
  • Donate Proceeds: Announce the total amount raised and present the funds      to the benefiting charity or organization. 

Key Success Factors

  • Security is Paramount: Coin shows hold high-value inventory. Ensure all      protocols are strict, especially during set-up and tear-down.
  • Engage Beginners: Include activities that attract young collectors, as this boosts attendance and supports the hobby's future.
  • Dealer Relations: Treat dealers well; they are the core of the show. A good dealer experience ensures they will return next year.
